A call recording is useful only if you can find it when you need it. On a supported Android setup, your calling app saves the audio and CallSync can upload accessible recordings to your business workspace. Automatic recording and automatic backup are two separate steps: both need to be configured and checked.
What “automatic recording backup” actually means
First, your phone’s calling app creates a recording. Then CallSync accesses the saved file, links it to the eligible call and uploads it when your setup allows. CallSync does not create the original recording.
- Automatic recording: available only when the installed dialer, phone model, region and settings support it.
- Automatic upload: requires accessible audio, configured recording uploads, an internet connection and available workspace storage.
- Manual sharing: if folder access is unavailable, share a saved file to CallSync. That initial sharing step is manual.
Call details can sync without any audio. Seeing a call in the dashboard does not prove its recording was backed up.
Choose business cloud backup or personal Google Drive backup
For a team: connect the phone to the right CallSync workspace. Eligible recordings upload to the business workspace so authorised users can play them beside the calls. Recording upload service and workspace storage must be available.
For individual use: the Android app’s personal mode supports Google Drive backup. Connect your Google account, enable daily backup and include linked recordings if you want the audio backed up too. Your Google account needs available storage.
These are separate workflows. Personal backup controls are available outside employee mode; connecting a business phone does not automatically configure a personal Drive backup. A JSON metadata export does not bundle the recording audio.

Check the installed calling app, not just the phone brand
Open the calling app on the actual work phone and look for recording settings or a Record button during a connected call. Two phones from the same brand can use different dialers and expose different recording options.
Some manufacturer dialers support automatic recording. Other devices use Phone by Google and may offer manual recording, depending on the model and region. Use the controls available on that device; a recording setting described for a different model may not exist.
Make a short test call and locate its saved recording. Play it on the phone. If no audio was created, CallSync has nothing to back up. The recording setup guide includes checks for the main phone families.
Connect the saved recording through the available mode
In CallSync’s Business sync settings, open Recordings and follow the mode the app offers. Folder access and manual sharing reach the same goal through different paths.
- Recording folder: allow the requested audio or folder access and select the location where the dialer saves files.
- Manual sharing: open the saved audio in the calling app, choose Share → CallSync, and select the matching call when prompted.
Choose the real recording location, then make a new call to test it. Selecting a folder that contains old audio does not establish that new recordings will keep landing there after a dialer update.
If the dialer does not expose its files for folder access but does allow sharing, follow the manual-sharing instructions. Changing upload mode cannot create audio the phone never recorded.
Confirm the workspace can receive audio
The team member’s Recording upload service needs to be enabled. Check the workspace’s active plan and available recording storage, along with the phone’s internet access and upload preferences.
A synced call log is a useful first check because it confirms the phone-to-workspace link. It does not confirm that audio access or recording upload is configured. Look at the recording attached to that specific call.
Write down the test call’s time, number, and duration. Find the same call in the dashboard, play its audio, and confirm both participants can be heard. Use a test conversation that does not contain customer information.
Find the first stage that failed
If the phone has no playable recording, inspect the dialer. If the phone has audio but CallSync cannot find it, inspect file access or sharing. If CallSync can access the audio but it is absent from the dashboard, inspect upload settings, connectivity, storage, and the visible sync state.
This sequence avoids a common detour: repeatedly changing business pairing when the missing piece is the recording folder. Pairing solves identity; it does not enable the phone’s recorder.
For support, collect the phone model, installed dialer, Android version, call time, and visible error. Start with those details. Share audio only when it is needed and you choose to provide it.
Keep recordings reliable after setup
Repeat the playback check after replacing a phone, changing the default dialer, or installing a major phone update. Review uploads during the first few workdays so a setting that only works while the app is open does not go unnoticed.
Decide which business calls your team needs to retain and who should review them. A recording is valuable when it answers a specific question: what specification did the customer give, what was agreed, or where did the conversation become unclear?
If you enable AI analysis, begin with audio that has passed this playback check. Better summaries start with a complete, audible conversation; analysis cannot recover a voice that was never captured.
Agree recording and retention settings before uploading
Discuss recording and sharing with your team and follow the consent requirements that apply to your calls. Choose the work SIM, tracking start date and personal exclusions before the first business sync.
Review recording uploads separately from call tracking. Decide who should review conversations and which audio the business needs to retain. Excluding a number from future tracking does not automatically erase its older stored calls or recordings.
After setup, changing phones or a dialer update, repeat the test-call playback check. For personal Drive backup, confirm that the backup completes with recordings included; a successful metadata export alone does not confirm an audio backup.
