A salesperson ends a detailed call with a customer who has three requirements and one unresolved objection. Before writing the follow-up, they need to recover what was said. AI analysis can make that review faster, but the final note still needs to reflect the actual conversation.

01

Start with a recording you can hear clearly

CallSync’s audio analysis needs an uploaded, playable recording, AI enabled, and enough credits. Open the call and confirm playback before treating missing analysis as an AI problem.

Listen to a short sample from both participants. Background noise, an absent voice, and an incomplete recording can weaken the transcript. When the input is incomplete, mark the limitation in the follow-up rather than asking the summary to guess.

The recording backup guide helps you establish that input. On AI analysis, review automatic-analysis settings and the available balance before processing a batch of new uploads.

02

Review the summary around the next customer action

A summary is most useful when it helps answer four questions: what the customer needs, what was agreed, what remains unresolved, and who should do what next.

Read those points first, then check the transcript or audio where an amount, date, product code, or commitment affects the response. Those details deserve more scrutiny than a general description of the conversation.

Example follow-up check

The summary says “send a quotation.” The transcript shows the customer asked for two quantities, a delivery estimate, and confirmation of installation charges. Include all three in the follow-up instead of forwarding the summary unchanged.

Use suggestions individually where the interface offers them. Review a proposed note or label before applying it to the contact.

03

Estimate audio usage before enabling a large batch

CallSync measures analysis usage in credits. Each credit covers 15 seconds of audio, rounded up per analysis. A four-minute recording uses 16 credits. At ₹0.25 per credit, that is ₹4 before taxes at the current credit rate.

For a pilot with twenty four-minute calls, the estimated audio usage is 320 credits. Longer calls and fresh analyses change the total. Check the balance and visible status before using Analyze again on a call that is already queued or processing.

Start with a representative sample of your real conversation lengths. That makes the estimate more useful than assuming every call lasts exactly four minutes. The pricing calculator can help plan your audio minutes alongside phones and recording storage.

04

Build a small review habit for important details

When a call affects a quotation, delivery promise, or customer complaint, compare the key points with the source audio. This is a practical quality check for the work, not a reason to replay every minute.

  • Confirm names and numbers that may sound similar.
  • Check whether a date was a request, a proposal, or an agreement.
  • Separate what the customer said from what the salesperson suggested.
  • Leave an unresolved point unresolved until someone confirms it.

For coaching, discuss the specific exchange behind the observation. A general label such as “objection handling” is less actionable than noticing that the customer asked about delivery twice without receiving a clear answer.

05

Know where analysis and assistant access fit

CallSync uses Google Cloud Vertex AI for its AI processing. Our Privacy Policy describes the data involved and links to the applicable Google Cloud terms. Review that information when deciding how your workspace will use analysis.

Connecting ChatGPT or Claude to CallSync is another workflow: an authorised assistant can query available workspace data through the connection. It does not create missing recordings or turn an unprocessed call into a completed analysis.

Choose the workflow that serves the task. For one detailed follow-up, review the recording’s analysis. For a question across calls, use the connected assistant and check the records behind its answer.

Start with one useful conversation.

Check playback, run analysis, and review the details that will shape your follow-up.
