A call arrives in the dashboard, its recording uploads later, and AI analysis finishes after that. If an integration treats each update as a new customer interaction, the CRM ends up with duplicates. A useful integration connects those stages to one call and one customer record.

01

Decide what the destination actually needs

Begin with the result you want in the CRM: a call activity on the correct contact, a link to the recording, or a summary for the account owner. Write the required fields before choosing an event.

At minimum, decide how the customer will be matched, how the employee is identified, and which call details belong in the activity. Phone numbers need consistent handling, including country codes. An unmatched number should have an explicit review path rather than silently attaching to the wrong customer.

CallSync’s API and webhooks provide building blocks for a custom integration. Do not assume a ready-made connector exists for your CRM; verify the required mapping with the person implementing it.

02

Choose events for new activity, queries for retrieval

Use a webhook when your system needs to react to a new event. Use the REST API when your system needs to retrieve records for a report, lookup, or reconciliation. They can complement each other in the same integration.

  • call_logged: start or update the call activity after it syncs.
  • recording_updated: attach the recording when upload finishes.
  • ai_analysis: process the available analysis outcome.
  • caller_updated: update the contact context you need.

Audio and AI fields can be absent. A call event is not a promise that every later stage has completed. Use data.call_id to associate call-related updates with the same record, and inspect the actual payload for the event you selected.

03

Make repeated deliveries safe to process

Your receiver should be able to see the same update twice without creating two CRM activities. Store the external call identifier and update the existing activity when the next stage arrives.

One call through three stages

At 11:05, create the CRM activity for the synced call. At 11:07, add the recording to that activity. At 11:09, add the reviewed analysis outcome. The customer still has one conversation in their timeline.

Separate accepting a request from finishing its work. A receiver can return a successful response and still fail during CRM processing. Keep enough downstream logs to trace the call identifier and the final CRM result.

04

Test the receiver and the customer record

Configure a publicly reachable HTTPS endpoint and verify the CallSync signature before trusting incoming data. Keep API keys and signing secrets in server-side configuration.

  1. Send a test event from the saved webhook endpoint.
  2. Check the response and receiver logs.
  3. Confirm that the intended CRM record was created or updated.
  4. Repeat the event and verify that it does not create a duplicate.
  5. Sync a real test call and check the same path end to end.

If the receiver accepts the request but the CRM record is wrong, inspect identity matching and field mapping. If the request never arrives, inspect the endpoint path, HTTPS reachability, and delivery history. Do not assume failed requests retry automatically.

05

Use an AI assistant when the task is a question

A scheduled CRM update and “which customers need a follow-up?” are different tasks. The first needs a predictable integration; the second may be useful through CallSync’s ChatGPT or Claude connection.

Connect through the supported sign-in flow and authorise the intended workspace. Ask a bounded question with a date range or team member, then review the underlying call records before acting on the answer.

Keep the automated CRM pipeline focused on structured events. Use the assistant for exploration and review instead of making an open-ended answer the only record of a customer commitment.

The webhook guide, API guide, and assistant setup guide cover the exact configuration.
